BACKGROUND
Wellness portal for employees of Miriam College
Miriam College has been offering a wellness program for its employees for many years. Workshops on topics such as mindfulness, nutrition, stress management and regular physical fitness classes like HIIT and yoga are held regularly throughout the year.
Due to the pandemic, employees were required to work remotely and the wellness program activities, which were previously done inside the campus, were held online. Taking advantage of the online medium and the option to record the activities, the portal was set up to make information and resources readily available to everyone.
Challenge
Present content in a way that can be conveniently accessed by employees in the limited time and volume given.
Solution 1
Use the website CMS already being used by the school's main website. It requires no setup and development.
Solution 2
Use YouTube to upload class videos as majority of users are already using YouTube. YouTube is also compatible with the website CMS.
Information about the program and its activities were published for employees' reference. Online workshops and class videos recorded by the organizers were uploaded on YouTube and could be played while on the portal.
New users were able to learn about the program and access past content easily. Old users could also retrieve recordings of classes they missed at their convenience.
Information Architecture
Because the content development team is small, the website content will be developed in phases. The first phase will only include the areas enclosed in lighter background.
We used MS PowerPoint to quickly communicate the ideas to each other and allow the HR head to visualize the project.
Style Guide
We used colors that are analogous to the school's official colors but lighter and brighter for a more informal and vibrant feel.
Takeaways
The Virtual Employee Engagement portal is a project that the school community can benefit from during and beyond the pandemic because of the convenience it provides. I think the project can be expanded with more content that have the same aim yet not necessarily part of the organizers' area. More features such as adding customization like levels of fitness will be a good addition. I feel that the portal could be designed better if more time and resources were available.
